Administrative Assistant Planning
(Hybrid position)


JOB TITLE: Administrative Assistant, Planning
LOCATION: Facility Services
SALARY RANGE: $52,460 - $69,377
HIRING RANGE: $52,460 - $66,957
DATE OF VACANCY: As soon as possible

POSITION SUMMARY:
The Administrative Assistant, Planning provides analytical and administrative support to the Manager of Planning and department team including the Capital Planning Coordination Committee. The incumbent is responsible for the coordination of the capital planning mandate including but not limited to interdepartmental collaboration related to various planning initiatives, public consultation, municipal partner meetings and collaboration with community organizations in a highly confidential environment.

KEY RESPONSIBILITIES:
  • Respond to inquiries, communicate direction on behalf of Manager and take action or redirect as necessary
  • Coordination of the capital planning mandate
  • Provide administrative coordination and support for the department
  • Administrator for department purchasing cards and phone bill maintenance
  • Organize meetings, training sessions and other departmental initiatives as required
  • prepare agendas and record meeting minutes
  • Direct calls and provide information act as a liaison on behalf of the Manager to various stakeholders
 WORK PERFORMED:
  • Liaise with community partners and municipal staff
  • Act as the point of contact for community collaboration meetings and attendance area reviews
  • Provide internal and external parties information regarding TVARRIS, Share Point, Organizational structure, etc.
  • Coordinate with both internal and external stakeholders to arrange weekly meetings and conference calls
  • Coordinate onboarding of new employees into planning department
  • Participate in public communication improvement meetings
  • Ensure website information is kept up to date
  • Coordinate tours to schools in conjunction with other departments
  • Liaise with external consultants for payment, invoicing, and schedule coordination
  • Process departmental purchasing card transactions
  • Review, prepare and distribute correspondence, agendas, and take meeting minutes and process departmental mail, including but not limited to scanning of planning and other
  • Work closely with Business Services for Admin Council reports, information relaying for Trustees, and meeting scheduling
  • Organize monthly team building events
  • Provide general administrative and secretarial support to the Manager and department, and act as backup for the Executive Assistant, Facility Services and Capital Planning
  • Participate in other departmental tasks as assigned
EDUCATION/EXPERIENCE/QUALIFICATIONS
  • Strong organizational, analytical and problem-solving skills
  • Proficient in computer systems such as Outlook 365, MS Office Suite, etc.
  • Excellent interpersonal skills with effective communication skills, both orally and in writing
  • Ability to work both independently and part of a team
  • Provide a high standard of customer service, responding to inquiries and concerns with respect and professionalism
  • Successful completion of a one (1) year post secondary program in Business, Office Administration or equivalent
  • Three (3) years of recent, related experience

First consideration will be given to permanent members of The Association of Administrative, Professional and Support Personnel (AAPSP).
